Set up TeleCallingCRM in minutes

A precise, step-by-step guide to every page in the admin panel, the mobile app, and how to connect each of your lead sources. New to the CRM? Start with the quick start below.

Getting Started

Quick start

TeleCallingCRM is cloud-based there is nothing to install on the admin side. Create your account, add your agents, bring in your leads, and your team can start dialing the same day.

  2. 2Add your agents (callers and team leads) under Team.
  3. 3Import your existing leads from CSV/Excel, or connect a lead source.
  4. 4Agents install the mobile app, sign in, and start the auto dialer.
  5. 5Watch calls, pipeline and conversions update live on the dashboard.
Every plan includes all core features. You only pay for the number of agent seats you need upgrade or downgrade anytime.

Add your team

Open Team in the admin sidebar and click Add User. Choose a role a Caller makes and logs calls, while a Team Lead can also review their team's performance.

  • Each agent gets their own login for the mobile app.
  • Set a daily call target per agent (optional).
  • Suspend or re-activate an agent anytime without losing history.
  • Bulk-import users if you are onboarding a large team.

Import leads

Go to LeadsImport and upload a CSV or Excel file. Map your columns (name, phone, city, etc.) to the CRM fields and confirm.

  • Duplicate phone numbers are detected and skipped automatically.
  • Numbers on your Do-Not-Call (DNC) list are never dialed.
  • Assign imported leads round-robin or to a specific agent.
  • Prefer automation? Connect a lead source so leads arrive on their own.

Dashboard

The dashboard is your daily snapshot: calls made today, talk time, connect rate, follow-ups due, new leads, and live pipeline value all aligned in clean KPI cards across the top.

  • Today's key metrics at a glance, refreshed in real time.
  • Call volume, duration and outcome charts.
  • Quick links into Leads, Pipeline and the War Room.
  • Filter by date range and export when you need a report.

Leads & numbers

Every contact lives here with full call history, notes, source, city, and a lead score (Hot / Warm / Cold / Not Interested). Open any lead to see the complete timeline of calls and outcomes.

  • Search and filter by source, status, agent or score.
  • Add a deal value and expected close date to any lead.
  • Reassign leads between agents in a click.
  • See exactly which integration or import each lead came from.

Assignment rules

Decide who gets which lead the moment it arrives. Open Assignment Rules and build an ordered list of rules the first one that matches a new lead wins. Leads that match no rule fall back to a default round-robin, so nothing is ever left unassigned.

  • Round-robin across the whole team or a chosen subset of agents.
  • Language-match: route a lead to agents who speak its language.
  • Fixed agent: send a specific source straight to one owner.
  • Availability-aware only assign to agents who are punched in.
  • Rules run on every lead path: imports, forms and integrations.
Choosing a specific agent during an import or form skips the rule engine and assigns directly handy for one-off lists.

Sales pipeline & forecast

The pipeline turns calls into revenue you can see. Each lead carries a deal value and moves through your own custom stages — Contacted, Qualified, Proposal, Negotiation, and Won.

  • Live totals: how much value is open vs. how much has closed.
  • Won revenue is attributed to the agent who closed it.
  • Agents set/propose the value; admins review and approve.
  • Spot stalled deals by stage so nothing slips silently.

Give each stage a win-probability and add an expected close date to your leads, and the Revenue forecast card does the rest: a weighted pipeline value plus time-phased forecasts for this month and this quarter so you're planning on likely revenue, not a raw total.

Stage changes made on a call automatically mirror onto the lead, and every move is recorded in the lead's stage-change history.

Follow-ups

Agents schedule a callback in one tap from the call-outcome screen. The admin panel rolls everything up into Overdue, Today's and Upcoming lists so nothing is forgotten.

  • Quick presets: tomorrow, in 3 days, in a week, or a custom date.
  • Reminders fire before the call is due; overdue ones are flagged.
  • Smart timing can auto-create the next follow-up from the call outcome.
  • Hot leads get a shorter reminder lead-time than cold ones.
  • Completion tracking shows how disciplined each agent is.

Call scripts

Give agents the right words at the right moment. Create scripts under Scripts in the admin panel; they appear on the lead's call screen in the mobile app. Tie a script to a pipeline stage and it's surfaced first when the lead is in that stage.

  • Write opening, objection-handling and closing scripts.
  • Attach a script to a stage so it shows at the right time.
  • Reorder scripts; toggle any script active or inactive.
  • Agents read them inline without leaving the call screen.

Team & leaderboard

The leaderboard ranks agents by the metrics that matter calls, talk time, conversions, pipeline value and revenue won. Switch the ranking metric to see who leads on each.

  • Money columns: pipeline value and won value per agent.
  • Sort by any metric to reward the right behaviour.
  • Click any agent to open their full profile.

Agent profile

Click an agent anywhere in the app to open a complete profile: their calls, talk time, conversion rate, pipeline and won revenue, attendance, and recent activity all in one place.

  • Performance trends over a date range.
  • Worked hours, talk time and utilization.
  • Their open pipeline and the deals they have closed.

Attendance & utilization

Agents punch in and out from the mobile app so you know real working hours and how much of that time was actually spent on calls. Utilization is calculated for you.

  • Worked hours vs. talk-time-within-hours, per agent per day.
  • Utilization % computed automatically (talk ÷ worked).
  • Admins mark leave; on-leave agents are excluded from idle.
  • Daily attendance and utilization reports.

War room

A full-screen, real-time command centre built for a wall-mounted monitor. See who is on a call, who is idle, who is on leave, plus today's pipeline and revenue won all ticking live.

  • Live agent states: on call, wrap-up, idle, away, on leave.
  • A streaming activity feed of calls and conversions.
  • Pipeline value and won-today figures updating in real time.
  • Open it from the highlighted link beside notifications.

Automations & workflows

Build no-code rules that react the moment something happens. A workflow has a trigger and one or more actions, and runs automatically in the background.

  • Triggers: lead created, call logged, or stage changed.
  • Actions: send a WhatsApp template, change stage, assign, tag, or schedule a follow-up.
  • Pick the WhatsApp template from a list no API wrangling.
  • Chain multiple actions into a single workflow.

Reports & report builder

Pull the numbers behind the dashboard: call reports, conversion funnels, source performance and agent comparisons over any date range, with export for sharing.

  • Report builder: switch the dataset between Calls and Follow-ups.
  • Pick your dimensions, metrics and filters, then export to CSV/Excel/PDF.
  • Connection rate (calls with talk time) and answer rate (calls picked up) are built-in metrics.
  • Today and This-month presets get you a report in two clicks.

Billing & plans

Manage your subscription under Billing. Plans are priced per agent seat; all features are included on every plan. You can change seats or plan at any time.

AI & Messaging

AI call analysis

When a call is recorded, TeleCallingCRM can transcribe and analyse it automatically including Hindi and Hinglish calls. The result is attached to the call on the lead's timeline, with no manual review and no per-call fee.

  • Automatic transcription of the recording.
  • A 3–5 sentence summary (minutes of meeting).
  • Sentiment: positive, neutral or negative.
  • Key points and suggested next-step action items.
  • A 0–100 quality score with short coaching notes.
AI analysis is opt-in per account turn it on under Settings → Compliance. It runs in the background shortly after each recorded call finishes.

SMS, Email & WhatsApp

Reach leads on every channel from inside the CRM. Send a single message or a bulk blast using reusable templates with per-lead personalization. You bring your own providers, so you stay in control of delivery and cost.

  • SMS through MSG91 + DLT; Email through your own SMTP.
  • Configure providers and templates under Settings → SMS / Email.
  • Send to one lead, or in bulk to a filtered selection.
  • WhatsApp templates can be sent from the mobile app and workflows.

Scheduled messages

Don't send now send at the right time. Compose an SMS or Email, choose a future date and time, and TeleCallingCRM dispatches it automatically.

  • Schedule a message for any future date and time.
  • Review and cancel scheduled messages before they go out.
  • Great for reminders, offers and timed follow-up nudges.

Unified message inbox

Every lead has a single conversation view that merges SMS, Email and WhatsApp into one time-sorted timeline so whoever picks up the lead sees the entire history across channels at a glance. The same timeline is available to agents on the mobile app.

Roles & Compliance

Roles & permissions

Control exactly what each role can see and do. Open Settings → Roles & Permissions and toggle a clear matrix of permissions per role. Admins always have full access; everyone else is governed by their role.

  • View all leads, or only the ones assigned to the agent.
  • Edit lead fields, change stages, or transfer leads per role.
  • Allow or block adding numbers to the Do-Not-Call list.
  • Team Leads and Callers get sensible defaults out of the box.

Custom dashboards

The admin dashboard adapts to each user. Click Customize and show or hide the widgets you care about KPI cards, charts, team panels, app stats and recent activity. Your choices are remembered on that device.

Call recording

Calls can be recorded and stored encrypted, then played back securely from the lead's timeline. Playback is authenticated and private recordings are never publicly accessible.

  • Recordings are encrypted at rest.
  • Agents can play back only their own calls; admins, the whole team's.
  • Stream straight from the lead or call view nothing to download.

Retention & compliance

Stay on the right side of TRAI and GDPR with built-in controls under Settings → Compliance.

  • Data retention: auto-purge recordings and closed leads after N days.
  • Right to erasure: permanently wipe a lead and all its data and files.
  • Calling-hours window: only dial within permitted times (e.g. 9 AM–9 PM).
  • DNC enforcement and 256-bit encryption at rest, TLS 1.2+ in transit.
Mobile App

Install & sign in

Agents download the TeleCallingCRM app for Android or iOS and sign in with the login you created for them under Team. Optional biometric login keeps it secure and fast.

Punch in / out

At the start of the shift an agent taps Punch In; at the end they tap Punch Out. This is what drives accurate worked hours and utilization and it keeps on-leave agents from being counted as idle.

Auto dialer & call outcomes

The auto dialer calls the next assigned lead automatically. After each call the agent logs the outcome in one tap and call duration is captured from the phone's call log.

  • Pause and resume dialing anytime.
  • One-tap outcome: interested, callback, not interested, etc.
  • DNC numbers are skipped automatically.
  • Set a deal value or move the stage right from the call screen.

Follow-ups on mobile

Agents schedule callbacks from the outcome screen and get reminders when it's time. Their personal dashboard shows today's targets and follow-ups due.

Integrations

Connect your lead sources

TeleCallingCRM connects to 12+ lead sources so enquiries flow in automatically deduped and assigned to an agent within seconds. There are four connection styles:

  • One-click OAuth Facebook & Instagram lead ads.
  • Webhook push most portals and marketplaces give you a URL to paste.
  • Pull TeleCallingCRM fetches on a schedule (TradeIndia).
  • Sheet / plugin Google Sheets sync and the WordPress plugin.
For any webhook integration: open Integrations in the admin panel, click the source, and copy the unique webhook URL it generates for you. Paste that URL into the source's lead-delivery settings. Send one test enquiry and confirm it appears under Leads.

Facebook & Instagram (Meta) lead ads

The easiest connection no copying URLs. You authorise once and every lead-form submission on your Facebook or Instagram ads lands in the CRM.

  1. 1Go to Integrations → Facebook & Instagram and click Connect.
  2. 2Log in to Facebook and approve the requested permissions.
  3. 3Select the Page(s) whose lead forms you want to pull from.
  4. 4Choose the default source, assignment rule and starting stage.
  5. 5Done new lead-ad submissions arrive automatically, in seconds.
Click, connect, get. There is nothing to paste and no developer setup on your side.

Property portals 99acres, Housing, MagicBricks

Real-estate portals deliver buyer enquiries by webhook. Paste your TeleCallingCRM webhook URL into each portal's lead-push settings.

99acres

  1. 1Sign in to your 99acres seller / dashboard account.
  2. 2Go to Settings → Lead Management → Push API / Webhook.
  3. 3Paste your TeleCallingCRM webhook URL as the lead push endpoint and save.
  4. 4Send a test enquiry it appears under Leads tagged as 99acres.

Housing.com

  1. 1Open your Housing.com seller dashboard.
  2. 2Navigate to Lead Settings → Real-time lead delivery / Webhook.
  3. 3Enter the TeleCallingCRM webhook URL and save.
  4. 4New buyer enquiries are pushed in instantly and tagged Housing.

MagicBricks

  1. 1Log in to your MagicBricks advertiser account.
  2. 2Go to Lead Manager → Integrations / Lead Push.
  3. 3Paste the webhook URL (MagicBricks delivers leads as URL parameters no extra mapping needed).
  4. 4Save and trigger a test lead to confirm.

Marketplaces JustDial, Sulekha, TradeIndia

JustDial

  1. 1Open the JustDial seller portal / JD app.
  2. 2Find Lead Settings → Real-time lead / Webhook URL.
  3. 3Paste your TeleCallingCRM webhook URL and save.
  4. 4JustDial pushes each enquiry as it arrives, tagged JustDial.

Sulekha

  1. 1Sign in to your Sulekha business dashboard.
  2. 2Go to Lead Delivery → Webhook / API.
  3. 3Enter the TeleCallingCRM webhook URL and save.
  4. 4Test with one enquiry to confirm it lands under Leads.

TradeIndia

TradeIndia uses a pull connection you enter your API key once and TeleCallingCRM fetches new inquiries for you.

  1. 1Log in to TradeIndia and open My Account.
  2. 2Go to the Inquiries page, then My Inquiry / Buy Trade Leads API.
  3. 3Copy your User ID, Profile/Key and API key shown there.
  4. 4In TeleCallingCRM → Integrations → TradeIndia, paste them and click Save.
  5. 5Click Sync to pull inquiries now; future inquiries sync automatically.

Google Ads lead forms

Connect Google Ads lead-form extensions so enquiries flow straight in.

  1. 1In Integrations → Google Ads, copy your webhook URL and key.
  2. 2In Google Ads, open your lead-form asset → Delivery / Webhook integration.
  3. 3Paste the webhook URL and the key, then save.
  4. 4Use Google's 'Send test data' button to confirm a lead arrives.

Sarv IVR

Turn missed-call and IVR campaigns into leads. When a caller reaches your Sarv IVR, the call report is posted to TeleCallingCRM and the caller's number becomes a lead.

  1. 1In Integrations → Sarv, copy your webhook URL.
  2. 2In the Sarv panel, set the call-report / push URL to that webhook.
  3. 3Place a test call to your IVR number.
  4. 4The caller appears under Leads tagged Sarv.

WordPress

Capture leads from any form on your WordPress site using our free plugin.

  1. 1In Integrations → WordPress, download the plugin .zip.
  2. 2In WordPress admin, go to Plugins → Add New → Upload Plugin and select the .zip.
  3. 3Activate it, then paste your TeleCallingCRM webhook URL in the plugin settings.
  4. 4Submit a test form the lead appears in the CRM.

Wix

Send Wix form submissions to TeleCallingCRM using a Wix Automation.

  1. 1In Integrations → Wix, copy your webhook URL.
  2. 2In Wix, create an Automation: Trigger = form submitted, Action = send via webhook.
  3. 3Paste the TeleCallingCRM webhook URL as the endpoint and save.
  4. 4Submit a test form to confirm the lead lands under Leads.

Google Sheets

Already collecting leads in a spreadsheet? Sync it directly.

  1. 1In Integrations → Google Sheets, paste your sheet's share URL.
  2. 2Map the sheet's column headings to CRM fields (name, phone, city, etc.).
  3. 3Click Authenticate to grant read access, then Save.
  4. 4Hit Sync to pull rows in as leads; sync again anytime new rows are added.

Zapier

Connect 5,000+ apps via Zapier using a webhook action.

  1. 1In Integrations → Zapier, copy your webhook URL.
  2. 2In Zapier, add a 'Webhooks by Zapier' action set to POST.
  3. 3Point it at your TeleCallingCRM webhook URL and map fields to name/phone/email.
  4. 4Turn the Zap on and run a test to confirm.

Generic webhook

Any tool that can POST a lead can connect. Each integration in TeleCallingCRM gives you a unique, secret URL of the form /api/public/webhooks/<your-key>/leads. POST a JSON body with at least a phone number and a name and we'll create the lead, dedupe it and assign it.

  • Common field names (name, phone, email, city, message) are recognised automatically.
  • Both POST (JSON) and GET (query parameters) are supported.
  • Regenerate the key anytime if it is ever exposed.
